IMPORTANT INFORMATION – PLEASE READ!
SwimWild is taking a break from running trips/retreats/events and workshops between Autumn 2023 and Spring/Summer 2024 due to Alice being on maternity leave.
**The SwimWild shop will continue to operate over this time. We aim to ship all orders within 2 working days (print-on-demand items may take longer). For any shop related enquiries please contact Fiona at shop@swimwilduk.com
Trips/retreats & workshops will start up again from late summer 2024 onwards.

Making your booking:
When you make a booking and pay your deposit or full payment (as applicable), we will reserve your trip on the basis of these Booking Conditions. Your booking will be taken as confirmed in respect of all persons named on your booking and a binding contract between us will come into existence only when we send our booking confirmation email to you. Prior to doing so, you may receive a provisional confirmation that your booking has been received. Please contact us if for whatever reason you have not received a booking confirmation email from us within 14 days of receipt of your booking. We reserve the right to refuse a booking without giving any reason and in such circumstances will return any monies paid at the time of booking.
When you make your booking you are required to pay a 25% deposit. If your trip is due to commence within 10 weeks of your booking then the total price shall be payable at the time of booking. In any event the balance of the total price of your trip must be paid at least 10 weeks prior to travel commencing. Your booking will not be confirmed until we receive your deposit and if the balance is not paid by the due date then we shall cancel your booking and retain any deposit.
Declaration:
Please ensure you have reviewed all information you have submitted within your booking. By making this booking you are declaring that all information you are submitting is true, accurate and complete to the best of your knowledge. If booking spaces for other people you confirm that you have their consent to submit information on their behalf.
Changes to the itinerary:
Our multi-day trips all require a degree of flexibility due to weather, tides (where applicable) and other local conditions that might affect its operation and safety. For this reason any itineraries published on the website must be seen as examples of what to expect rather than a set schedule that we will definitely follow. Changes to the itinerary are possible (and quite likely) and can add a unique experience to each trip. We may make alterations to the trip itinerary at anytime. Our guides or any third party operating a swim will determine if a swim can safely proceed and you will be expected to comply with their instructions.
Cancellations made by you (the client):
Cancellations made by you, you will be refunded as follows:
Cancellations made –
- With more than 12 months notice: SwimWild will return all monies paid (minus a booking fee)
- With 90 days up to 12 months before the start date: SwimWild will retrain your deposit.
- With 70-89 days notice: SwimWild will retain 70% of total holiday price for each person in the group who cancels.
- Cancellations made less than 10 weeks (70 days) before the trip start date: 100% of the trip price will be retained for each person cancelled and any outstanding balance remains payable. NOTE “total price” means the total price payable by each person for the holiday (including any supplements paid). This helps to cover costs which have committed to for your booking.
If the outstanding balance is not paid by the due date (which is 10 weeks before the trip start date) then unfortunately your booking is treated as being cancelled by you and your deposit will be retained.
Non-Attendance: Non- attendance (or late attendance where the trip has left or which may sadly mean we are unable to accommodate you) on a trip means this has been cancelled by you and no refunds will be given. Please ensure you allow plenty of time to arrive and if you have not had any joining details or are unsure where to meet please contact us at least 72 hours before the trip /booking starts.
Substitution: You can substitute another person to your booking who meets the trips requirements. You must inform us in writing at least 10 days before the trip start. Any substitution is at our discretion and we reserve the right to refuse the substitution at any time and this will be treated as a cancellation made by you.
Cancellations made by us (unrelated to Covid-19):
We regret if there is insufficient demand for the trip or the minimum number is not met we have the right to cancel it. If we do have to cancel, we will tell you as soon as possible and normally no later than 8 weeks prior to the start date. In this situation, you will then have the choice of having a full refund of all monies paid or, if possible, transferring to another trip. We regret that under such circumstances no compensation or other monies will be payable (for example, the cost of any travel arrangements you have made independently). We strongly suggest you have travel insurance that covers any cancellations made by either party.
Cancellations made by us (due to Covid-19):
At SwimWild, one of our promises to you (the client) is that we will always put your safety and well-being first and above anything else. Safety is our highest priority and something we relentlessly strive for, no matter what.
With this in mind, we are closely following government guidelines and recommendations around the COVID-19 virus and what that means for your multi-day trip booking.
- If you would like to keep your booking we can move you onto the rearranged dates or the same trip next year – your deposit will simply be transferred over to your chosen trip.
- If there is another SwimWild trip you like the look of, we can transfer your booking onto that trip instead, subject to availability. Deposits for multi-day trips can also be used towards bespoke trips or private guiding or other SwimWild services such as workshops and coaching.
- If none of the options above suit you, you are welcome to a full refund of your deposit.
Hopefully, this allows peace of mind when booking with SwimWild!
Health and Trip Requirements:
By booking a trip you declare you are of good health, that you meet the trip fitness and other requirements as listed on the relevant trip information page; and that you take part entirely at your own risk. All entrants must be 16 years or over, and those under 18 must be accompanied by an adult at all times.

Insurance:
We recommend you have comprehensive travel insurance which has adequate cover for the requirements of your trip and to cover you for incidents such as; illness, accident, cancellation, lost property etc.

Attending any course or workshop held by SwimWild is at your own risk, SwimWild accepts no liability for any injuries or loss that may be incurred from attending one of our workshops or courses.
Booking Policy:
SwimWild reserves the right to change event times, dates and venues subsequent to your booking. You will be notified and be offered the opportunity to cancel your booking. These refunds will incur charges relating to unrecoverable costs. For further information regarding these cost get in touch. SwimWild reserves the right to cancel the event, if in the unfortunate circumstance an event is cancelled in its entirety for whatever reason, you will receive a full refund.
Event booking cancellations by you (the client) –
- Cancellations within 15-30 days of the event would result in a 50% refund
- Cancellations made 14 days or less from the event date will not be refunded
ALL refunds will be subject to penalties relating to unrecoverable costs and booking fees.
Non-Attendance: Non-attendance (or late attendance where you have missed a significant part of the start of the course or workshop) means this has been cancelled by you and no refunds will be given. We normally send out final information around 7-10 days before the course or workshop date. Please ensure you allow plenty of time to arrive and if you have not had any joining details or are unsure where to meet please contact us at least 72 hours before the event starts.
Substitution: You can substitute another person to your booking who meets the course or workshop requirements. You must inform us in writing at least 72 hours before the trip start. Any substitution is at our discretion and we reserve the right to refuse the substitution at any time and this will be treated as a cancellation made by you.
Goodwill Transfers: If you make a cancellation 30 days or less from the start of your course or workshop, as a gesture of goodwill we may be able to offer you a ‘last minute availability’ transfer. This means we can offer you a ‘last minute’ space on another course or workshop.
Cancellations made by us (unrelated to Covid-19):
We regret if there is insufficient demand for the workshop or course or the minimum number is not met we have the right to cancel it. If we do have to cancel, we will tell you as soon as possible and normally no later than 4 weeks prior to the event date. In this situation, you will then have the choice of having a full refund of all monies paid or, if possible, transferring to another workshop or course.
Please note, for outdoor workshops/coaching, sessions will run-in all-weather conditions unless deemed unsafe to do so.
If we do need to cancel due to extraordinary circumstances beyond our control such as (but not restricted to) extreme weather, unforeseen venue closure, natural disasters, medical and other emergencies, acts of terrorism; you will then have the choice of having a full refund of all monies paid or, if possible, transferring to another workshop or course. Cancellations made by us (due to Covid-19):

- You will be offered an alternative date, and be moved to the new date without incurring any additional charges.
- If you are unable to make this new date a refund will be mades minus unrecoverable costs and booking fees.
In the event of event postponement due to Covid-19, where no alternative date is yet organised:
- You will be offered a voucher for the full value of the course which can be used towards another course or workshop.
- Once new dates are released you will be able to redeem your voucher and move to a new date without incurring any additional charges.
- If you would rather not receive a voucher a refund will be made, minus unrecoverable costs and booking fees.

Your booking will be taken as confirmed in respect of all persons named on your booking and a binding contract between us will come into existence only when we send our booking confirmation email to you. Private coaching bookings cannot be transferred to another person(s). If you need to make a change to the time or date we will do our best to accommodate. Please give us as much prior notice as possible. If we are unable to accommodate a new time or date, you will need to cancel the booking as per the cancelation terms below.
Declaration:
Please ensure you have reviewed all information you have submitted within your booking request. By making this booking you are declaring that all information you are submitting is true, accurate and complete to the best of your knowledge. If booking for a group you confirm that you have their consent to submit information on their behalf. Participating in any private coaching activity provided by SwimWild is at your own risk, SwimWild accepts no liability for any injuries or loss that may be incurred from participating in a coaching session.
Private guiding cancellations by you (the client) –
- Cancellations within 15-30 days of the event would result in a 50% refund
- Cancellations made 14 days or less from the event date will not be refunded
ALL refunds will be subject to penalties relating to unrecoverable costs and booking fees.
Non-Attendance:
Non- attendance on a private coaching session means this booking has been cancelled by you and no refunds will be given. If we need to cancel your booking due to extraordinary circumstances beyond our control such as (but not restricted to) extreme weather, unforeseen venue closure, natural disasters, medical and other emergencies, acts of terrorism; you will then have the choice of having a full refund of all monies paid or, if possible, transferring to another date.
Cancellations made by us (due to Covid-19):
- You will be offered an alternative date, and be moved to the new date without incurring any additional charges.
- If you are unable to make this new date a full refund will be made.

By booking a private coaching session declare you are of good health, that you are fit enough to participate in the session; and that you take part entirely at your own risk. All participants must be 16 years or over, and those under 18 must be accompanied by an adult at all times.

Your booking will be taken as confirmed in respect of all persons named on your booking and a binding contract between us will come into existence only when we send our booking confirmation email to you. Private guiding bookings cannot be transferred to another person(s). If you need to make a change to the date we will do our best to accommodate. Please give us as much prior notice as possible. If we are unable to accommodate a new date, you will need to cancel the booking as per the cancelation terms below.

There is no set itinerary for a private guided swimming adventure and the details will be arranged on a case-by-case basis, based on the individuals (or groups) swimming and walking ability, taking any particular requests into account. Even once a provisional itinerary has been discussed all private guided trips require a degree of flexibility due to weather, river flow (where applicable) and other local conditions that might affect its operation and safety. For this reason we cannot 100% guarantee that you will be able to swim in your desired location, especially if involves swimming in a river or waterfall but we always have alternative options that we will discuss with you. Last minute changes to the itinerary are possible and can add a unique experience to each trip. We may make alterations to the trip itinerary at anytime. Our guides will determine if a swim can safely proceed and you will be expected to comply with their instructions.
Private guiding cancellations by you (the client) –

All prices payable for the items that you order are clearly set out on the website. The price of the items does not usually include the delivery charge, which will be charged at the rates applicable at the time you place your order.
Returns:
If your purchase is not suitable you can return it to us unused with the original packaging and manufacturer’s labels/swing tickets intact, within 15 days from the date you receive the goods, for a replacement or refund.

Please use registered post or guaranteed delivery service for all returns. All refunds will be given as soon as possible, usually a refund transaction onto the card used for purchasing. At the very latest we will refund your money within 30 days of the original purchase. Under certain circumstances, we may refund the return postage if the goods are faulty or damaged. However, in the case of incorrect ordering and undisclosed reasons for return the customer will be expected to pay the return cost.

Gift Vouchers can be redeemed against any SwimWild adventures, coaching, courses or workshops when booked directly with SwimWild (subject to availability). Please email info@swimwilduk.com to book your activity.
Vouchers redeemed against a swim experience cannot be exchanged for shop items once a booking has been confirmed. Once a booking is confirmed it is treated as a swim booking and you should refer to the relevant terms and conditions for that activity and the section on cancellation information.
Vouchers can also be used to purchase items from the SwimWild gift shop using the voucher code provided.
Please note that vouchers cannot be used towards event entries or purchases from the SwimWild Teemill store.
Vouchers are valid for 24 months from the date of purchase and must be used within this time. We regret there is no cash alternative and no change can be given.
